Privacy, plainly.

This policy explains what personal information 3D Powder Coating receives, why it is used, how it is protected and how you can ask questions, access information or make a complaint.

1. Who we are and when this policy applies

3D Powder Coating Pty Ltd (ABN 43 612 121 365), referred to as “3D Powder Coating”, “we”, “us” or “our”, operates the powder coating workshop at Factory 10/1 Box Road, Taren Point NSW 2229 and the website at 3dpowdercoating.com.au.

Where the Privacy Act 1988 (Cth) and the Australian Privacy Principles apply to us, we handle personal information in accordance with them. Some small businesses are exempt from the Privacy Act unless an exception applies. Whether or not an exemption applies, this policy states the practices we use for personal information handled in connection with our business and website.

2. The personal information we collect and hold

The information we may collect depends on how you deal with us. It may include:

  • your name, business name, email address, telephone number and address;
  • project details, photographs, measurements, drawings, colour selections and instructions;
  • quotation, job, invoice, payment-status, collection and delivery information;
  • correspondence, feedback, warranty enquiries and complaints; and
  • technical information received by our website hosting, security, contact-form and embedded-media services, such as an IP address, browser or device type, referring page, requested pages and time of access.

We do not ask you to provide sensitive information through the website. Please do not include sensitive or unnecessary personal information in an enquiry.

3. How we collect and hold information

We usually collect information directly from you when you telephone, email, visit the workshop, submit the website enquiry form, ask for a quotation, supply an item or communicate with us about a job. We may also receive information from a person or business authorised to act for you, a contractor involved in your project, or a publicly available source where reasonably necessary.

Information may be held in business email, electronic job and accounting systems, website systems and physical records. We take reasonable steps appropriate to our size and activities to protect it from misuse, interference, loss and unauthorised access, modification or disclosure.

4. Why we collect, hold, use and disclose it

We use personal information where reasonably necessary to:

  • respond to enquiries, assess items and prepare quotations;
  • schedule, perform, document and communicate about powder coating, preparation, fabrication and related work;
  • manage suppliers, contractors, accounts, payments, collection and delivery;
  • handle feedback, warranty issues, complaints and disputes;
  • maintain and secure the website and business systems;
  • meet legal, insurance, safety, taxation and record-keeping obligations; and
  • send service information or marketing where you have consented or where otherwise permitted by law, with an option to opt out.

If required information is not provided, we may be unable to respond fully, assess or quote the work, or provide the requested service.

5. Disclosure and overseas handling

We do not sell personal information. We may disclose information only where reasonably necessary to employees, contractors, fabricators, suppliers, delivery providers, insurers, professional advisers, IT, website, email or data-storage providers, payment or accounting providers, and government, regulatory or law-enforcement bodies where required or authorised by law.

Some technology providers used for hosting, email, security or embedded video may process or store information outside Australia, including in the United States and other locations in which those providers operate. Provider locations and infrastructure can change. Contact us if you require current information about a particular service relevant to your dealings with us.

6. Security, retention and deletion

We restrict access to people who need information for business functions and use reasonable administrative, physical and technical safeguards. No internet transmission or storage system is completely secure.

We keep personal information only for as long as reasonably required for the purpose for which it was collected and for legal, accounting, insurance, warranty and dispute-resolution requirements. When information is no longer required, we take reasonable steps to destroy it or remove identifying details, subject to backup and record-retention processes.

7. Access and correction

You may ask to access personal information we hold about you or request a correction if it is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details below and provide enough information to identify the relevant records. We may need to verify your identity.

We will respond within a reasonable period. If access or correction is refused where the Privacy Act applies, we will provide the reasons and available complaint options unless the law permits otherwise. We will not charge for making a request, although a reasonable administrative charge may apply to providing access where permitted by law and advised in advance.

8. Privacy complaints

If you believe we have mishandled personal information, contact the Privacy Contact below. Please explain the issue and the outcome you seek. We will acknowledge the complaint promptly, investigate it fairly and aim to provide a written response within 30 days. If more time is reasonably required, we will tell you why and provide an expected response date.

If the Privacy Act applies and you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner at oaic.gov.au.

9. Updates and contact

We may update this policy when our practices, providers or legal obligations change. The effective date above shows the current version.
